GENERAL INFORMATION

(during fair weekend)

Inclement Weather and Unforeseen Circumstances

The Vancouver Island Exhibition strives to produce a full and safe fair, but sometimes the weather conditions, and unforeseen circumstances can impact those plans.

VIEx will go ahead rain or shine! All participants should arrive as scheduled and should be prepared for each days weather conditions.

The event will only be cancelled or postponed in the event of thunder and lighting or other extreme weather conditions. Any decisions related to the postponement or cancellation of the event due to weather will be made prior to the start time of each event.

The fair schedule may be altered, due to inclement weather.

Refund Policy

Generally taking place in the outdoors, weather conditions can play a large role in the production of the VIEx fair. The safety of our participants is always our first priority and the cancellation of the VIEx will be at the discretion of VIEx Executive Board members , in consultation with the VIEx Board of Directors and/or local law enforcement officials.

Because a significant amount of the funds collected from sponsorships and Vendor fees have already been expended by the day of the event for the production of the event, and because the event is uniquely scheduled for its dates and location, ticket, sponsor, and vendor refunds are not possible and rescheduling the event is not possible, thus VIEx has a no refund policy.

We will not refund any for cancellation or “no shows”.

 

SERVICES AT BEBAN PARK

Camping/RV sites are available on the grounds for $28.75 per day plus GST.  These fees are charged by the City of Nanaimo according to their City Park Camping policies.  All sites are on a first come, first serve basis.  Please enter via Labieux Road ONLY!

As far as possible, everything necessary for the comfort of the Exhibition visitor has been arranged at Beban Park – Administration Department, Police, Fire Protection, St. John Ambulance, Rest Rooms, Pay Telephones, ATM’s and Food Concessions.

PARKING / VEHICLES

(See also Parking/Traffic Regulations)

All Exhibition visitors are requested to enter on the paved roads. Movement of vehicles on the unpaved areas of the park will be restricted during the Exhibition Week. No motorcycles will be allowed on the unpaved areas.  PARKING ACCESS IS AVAILABLE VIA LABIEUX ROAD ONLY AND UP BEBAN PARK WAY. For 2019, there will not be guided parking by community groups.  Signs will be posted showing general parking areas.  Parking is on a first come, first served basis.  The Exhibition assumes no responsibility for theft or damages while vehicles are parked at Beban Park.

ALL SERVICE VEHICLES MUST BE OFF THE GROUNDS BY 8:30 AM. ALL SERVICE AND LIVESTOCK VEHICLES MUST USE THE LIVESTOCK GATE. SIGNS WILL BE POSTED. VEHICLES ILLEGALLY PARKED ON THE FAIR GROUNDS AFTER 8:30 AM WILL BE TOWED.

FIRE AND POLICE PROTECTION

Day and night watchmen are provided for all buildings and various areas within the grounds; every possible precaution is taken to reduce to a minimum the risk and probability of fire. Notwithstanding these precautions, the Exhibition will not hold itself responsible for any loss or damage by fire, theft or otherwise. Should the exhibitors require their exhibits be covered by insurance, they should make this arrangement personally.

 

EMERGENCY FIRST AID

The St. John Ambulance will provide a First Aid Post on the grounds. Emergency First Aid is provided free of charge; additional services including ambulance fees are chargeable to the person receiving the service.

 

INFORMATION BUREAU

An Information Bureau/Lost and Found will be maintained in the Exhibition Show Office which is located in the Little Red Barn. Hours are from 9am to 9pm except for Sunday 9am to 5pm.

 

General

By accessing this website and attending events you consent to these terms and conditions and to the exclusive jurisdiction of the courts in all disputes arising out of such access. If any of these terms are deemed invalid or unenforceable for any reason (including, but not limited to the exclusions and limitations set out above), then the invalid or unenforceable provision will be severed from these terms and the remaining terms will continue to apply. Failure of the Company to enforce any of the provisions set out in these Terms and Conditions and any

Agreement, or failure to exercise any option to terminate, shall not be construed as waiver of such provisions and shall not affect the validity of these Terms and Conditions or of any Agreement or any part thereof, or the right thereafter to enforce each and every provision. These Terms and Conditions shall not be amended, modified, varied or supplemented except in writing and signed by duly authorized representatives of the Company.

Disclaimer Regarding Audio/Video Recording of Events

When you participate in, or attend a VIEx event, you will be participating in an event where photography, video and audio recording may occur.

By participating in the VIEx event, you consent to interview(s), photography, audio recording, video recording and its/their release, publication, exhibition, or reproduction to be used for news, web casts, promotional purposes, telecasts, advertising, inclusion on web sites, or for any other purpose(s) that VIEx Board, its vendors, partners, affiliates and/or representatives deems fit to use. You release VIEx Board, its officers and employees, and each and all persons involved from any liability connected with the taking, recording, digitising, or publication of interviews, photographs, computer images, video and/or or sound recordings.

By entering the event premises, you waive all rights you may have to any claims for payment or royalties in connection with any exhibition, streaming, webcasting, televising, or other publication of these materials, regardless of the purpose or sponsoring of such exhibiting, broadcasting, webcasting, or other publication irrespective of whether a fee for admission or sponsorship is charged. You also waive any right to inspect or approve any photo, video, or audio recording taken by VIEx Board or the person or entity designated to do so by VIEx Board.

In addition, the event will be monitored for unauthorised recording. By attending the VIEx event or entering the event premises, you agree not to record or digitise any parts of the presentation. If you attempt to use a recording device, you consent to your immediate removal from the premises and forfeiture of the device.

You have been fully informed of your consent, waiver of liability, and release before participating in the VIEx event

PET POLICY


In the past few years, there has been some confusion over VIEx policy in regards to bringing pets onto the fairgrounds. Please be advised that since 2012, NO PETS ARE ALLOWED onto the fairgrounds unless previously approved by the Board Of Directors.
This policy does not include:

  • People with Disabilities and their Registered Service Animals,

  • Handlers of Service Animals in Training, and

  • Owners of Certified Therapy Animals

VIEx reserves the right to request documentation proving animal’s registration. We thank you for your understanding!
